Human Resources
- Provide general administrative support to the HR department, including filing, data entry, and correspondence.
- Assist with recruitment efforts such as posting job ads, screening resumes, scheduling interviews, and communicating with candidates.
- Support new hire onboarding by preparing documentation and conducting orientations.
- Respond to basic employee inquiries regarding policies, benefits, or HR procedures in a professional manner.
- Support Managers and Supervisors with coaching and mentoring Team Members.
- Support health and safety documentation, attendance tracking, and reporting as needed.
- Participate in HR projects and continuous improvement initiatives.
- Learn how to process bi-weekly or semi-monthly payroll for all employees, ensuring accuracy and compliance with provincial and federal laws.
- Verify hours worked, overtime, vacation, and other pay adjustments.
- Review and reconcile payroll reports, ensuring correct pay and deduction calculations.
- Prepare Records of Employment (ROEs), T4s, and other payroll-related documents.
- Respond to employee inquiries regarding pay, deductions, and benefits in a timely and professional manner.
- Stay current on changes to employment standards, tax regulations, and payroll legislation.
- Support audits, internal controls, and process improvement initiatives related to payroll.
- Complete payroll only on a as needed/back up requirement.
- Coordination of the ESOP Committee to ensure effective management of the ESOP.
- Assuring that ESOP participants receive proper allocation, forms, statements, and any applicable forfeitures.
- Assuring that all required forms are filed with the corporate lawyer, copies retained and filed appropriately.
- Assuring contributions, and any applicable distributions, to the plan are properly credited and documented.
- Interpreting plan provisions.
- Works with the ESOP Administrative Committee, consisting of Human Resource, Finance and Corporate Development representation, to maintain and update the ESOP blueprint and shareholders agreement, and to ensure any shareholder rights are upheld
- Supporting the promotion of the ESOP plan.
- Maintain strict confidentiality of all employee, payroll, and shareholder information in accordance with company policies and privacy legislation.
- Ensure accuracy and integrity of all HR, payroll, and ESOP records.
- Adhere to company policies and applicable employment and payroll legislation.
- Support continuous improvement by contributing to updates of procedures, documentation, and workflows.
- Collaborate with HR, Finance, Operations, and Legal to support seamless communication and process execution.
- Maintain professional and timely communication with employees, managers, and external partners.
- Perform additional duties as required to support HR and payroll operations.
- Post-secondary education in Accounting, Finance, Human Resources, or related field.
- Minimum of 2–3 years of payroll experience, preferably in a multi-location or multi-provincial environment.
- PCP (Payroll Compliance Practitioner) certification considered an asset.
- Working knowledge of HRIS and payroll systems (e.g., Dayforce, ADP, Ceridian, or similar).
- Strong understanding of Federal and Province employment and payroll regulations and employment standards.
- Proficiency in Microsoft Excel and other Office applications.
- High attention to detail and accuracy with strong organizational skills.
- Excellent communication and interpersonal abilities.
- Ability to maintain confidentiality and handle sensitive information.
